This Privacy Policy explains how DormHQ ("DormHQ," "we," "us," or "our") collects, uses, discloses, and protects personal information when you use our websites, applications, planning tools, content, and related services (collectively, the "Services").
1. Information we collect
We may collect the following categories of information:
- Account information: name, email address, password or authentication credentials, and account preferences.
- Profile and planning information: school or campus, move-in timing, dorm details, packing-list selections, roommate coordination information, and other details you choose to provide.
- Communications: messages, support requests, survey responses, and feedback you send us.
- Transaction information: subscription or purchase details, billing status, and limited payment-related information. Payment card details may be processed directly by our payment provider rather than stored by DormHQ.
- Device and usage information: IP address, browser type, device identifiers, pages viewed, links clicked, referring pages, approximate location derived from IP address, and dates and times of access.
- Cookies and similar technologies: information collected through cookies, pixels, local storage, software development kits, and similar tools.
- Information from third parties: information received from authentication providers, analytics providers, payment processors, affiliate partners, or other services you connect to DormHQ.
Please do not provide sensitive personal information that is unnecessary for using the Services.
2. How we use information
We may use personal information to:
- Provide, maintain, personalize, and improve the Services.
- Create and manage accounts and personalized packing or planning experiences.
- Enable sharing or collaboration features you choose to use.
- Process payments and manage subscriptions, when applicable.

- Service providers, including Supabase for database, authentication, and application infrastructure; Stripe for payment processing; MailerLite for email marketing; Google Analytics for website and product analytics; Meta, Google, and Pinterest for advertising and retargeting; and other hosting and security providers used to operate DormHQ.
- People you choose to share with when you use collaboration or roommate-sharing features.
- Affiliate and commerce partners, including Amazon and Walmart, when you follow a tracked link or make a purchase. The retailer's own terms and privacy policy govern its collection of information.
- Professional advisers and authorities when reasonably necessary to comply with law, protect rights and safety, investigate misuse, or establish or defend legal claims.
- A successor organization in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets.
- Other parties with your direction or consent.
DormHQ does not sell personal information for money. DormHQ uses retargeting cookies and related advertising technologies. These activities may be treated as "sharing," "targeted advertising," or a "sale" under some state privacy laws even when no money is exchanged. Where required, we will provide a cookie choice or another method to opt out.
4. Cookies and analytics
We use essential cookies to operate the Services and use Google Analytics plus Meta, Google, and Pinterest advertising or retargeting technologies to measure performance, understand user activity, build audiences, and show relevant advertising on other services. Where required by law, we will provide notice and choices for non-essential technologies. You can also control cookies through your browser or device settings, although blocking some cookies may affect functionality.
5. Affiliate links and third-party services
DormHQ content may contain affiliate links. We may receive a commission when you click a link or purchase from a third-party retailer, at no additional cost to you. Third-party websites, products, and services are governed by their own privacy policies, and DormHQ is not responsible for their privacy practices.
6. Data retention
We retain personal information for as long as reasonably necessary to provide the Services, maintain legitimate business records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods depend on the type of information, why it was collected, and applicable law. We may retain aggregated or de-identified information for longer.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your choices and privacy rights
Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of personal information; to object to or restrict certain processing; to withdraw consent; and to opt out of certain sale, sharing, targeted advertising, or profiling activities. To submit a request or ask us to delete your account and associated personal information, contact privacy@dormheadquarters.com. We may need to verify your identity before completing a request. Authorized agents may submit requests where permitted by law. We will not discriminate against you for exercising applicable privacy rights.
9. Children's privacy
The Services are intended only for users who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided personal information, contact us so we can review and delete it as appropriate.
10. International users
DormHQ is currently offered to users in the United States. Our service providers may process information in the United States and other locations where they operate.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version and revise the "Last updated" date. If changes are material, we will provide additional notice when required by law.
